Distributors and manufacturers wait longer for their money than their terms say. Atradius found that 43% of the value of B2B sales in the United States was overdue in 2025, and Credit Pulse's 2026 DSO benchmarks put a typical wholesale distributor at 38 days to collect on net 30 terms and a typical manufacturer at 52 days on net 45. If your company runs on Acumatica, the report that shows where that cash is sitting is the AR Aging report. It is easy to run and easy to misread, because its buckets come from a setting most finance teams configured once and forgot. This guide covers how to run it, which format and date to choose, how to export it to Excel or PDF, and how to turn it into a list your team actually works.
To run the aging report in Acumatica, open the AR Aging form (AR631000), set the Report Format, Company/Branch, Customer Class and Age as of Date on the Report Parameters tab, and click Run Report. To export it, choose Export on the report toolbar, then Excel for a working file or PDF for a snapshot.

What Is the AR Aging Report in Acumatica?
The AR Aging report lists every outstanding receivable and sorts it by how long it has been open. Acumatica's AR Aging report reference describes it as the report you use to determine which documents are overdue for payment and for how long. It shows released documents that are still open, or that were closed after the date you age them as of, with each balance calculated as of that date.
How the report is organized
Acumatica groups the documents by statement cycle and then by customer. That first grouping surprises people. If your customers sit on two statement cycles, you get two sections, each with its own buckets, before you see a single customer total.
Where the aging buckets come from
The columns are not fixed. They come from the Statement Cycles (AR202800) form, and two settings on each cycle decide what you see. The first is Use Financial Periods for Aging. When it is selected, the columns are financial periods. When it is cleared, the columns are the aging periods defined on the cycle, such as 1 to 30, 31 to 60 and over 60 days. The second is Age Based On. With Due Date, anything not yet due lands in the Current column and overdue balances spread across the past due buckets. With Document Date, balances are aged from the invoice date instead.
For collections work, Age Based On should be Due Date. Aging from the document date makes every net 45 invoice look late on day one and buries the accounts that are actually overdue.
How credits are placed
Unapplied credits and payments also need a home. The Age Credits check box on the Accounts Receivable Preferences (AR101000) form decides it. When it is selected, credits follow the same due date or document date rule as invoices. When it is cleared, they are placed using the Age as of Date. Either way, check that a large unapplied payment is not making a customer look current when an invoice is still open.
How Do You Run the AR Aging Report?
Running the report takes a minute once you know which parameters matter.
Open the form
Open the AR Aging form. Acumatica refers to every form by an ID, and this one is AR631000, which is the quickest thing to search for. If you bill in more than one currency, use AR Aging MC (AR631100) instead, which reports the same aging with currency detail.
Choose the report format
On the Report Parameters tab, the Report Format box offers three options. Summary shows one line per customer with the balance in each bucket, which is what a controller reads at month end. Detailed, the default, lists every outstanding document under each customer, which is what a collector works from. Detailed with Retainage adds unreleased retainage next to each past due document, and it appears only if the Retainage Support feature is turned on.
Set the scope
Company/Branch defaults to your current company or branch. Leave it blank to see every company in the tenant, unless the Multiple Base Currencies feature is on, in which case it is required. Customer Class and Customer narrow the report to a segment or a single account, and Project limits it to the documents on one project. If you use parent and child customer accounts, the Group by Parent Account check box rolls child balances up under the parent, which is how a national account that pays centrally should be read.
Pick the Age as of Date
Age as of Date defaults to today. Change it when you need the book as it stood on a past date, for example the last day of the month for a lender or an auditor. Every balance on the report is recalculated to that date, including payments applied afterward.
Run it
Click Run Report on the form toolbar. The report opens in the report viewer, where you can read it on screen, print it, or export it.

AR Aging is the right report for most collections work, but it has neighbors that answer different questions.

AR Aged Period-Sensitive for month end
The AR Aged Period-Sensitive reference explains that this report shows open documents at the end of the financial period you choose, with the last date of that period printed as the Aged On date. It is the version to attach to a month-end pack, because it ties to a closed period rather than to whatever day someone ran it.
AR Coming Due for the cash forecast
The AR Coming Due reference describes a report built for the opposite question: when to expect the money. Overdue balances collect in a single Past Due column, and everything not yet due spreads across the coming periods. Pair it with the aging report and your forecast stops assuming every customer pays on the due date.
Customer Details for one account
When a customer disputes a balance on the phone, the Customer Details (AR402000) inquiry is faster than rerunning a report. It shows the account's documents and balance on one screen.
How Do You Export the AR Aging Report to Excel or PDF?
Acumatica's report export documentation is short on this point: any generated report, predefined or custom, can be exported as an XLS file or a PDF.
Export to Excel
Run the report, then on the report toolbar choose Export and then Excel. How clean it looks depends on the report's Excel Mode, a layout property set in the Report Designer. On Auto, the default, some reports come across as a readable grid and others arrive with data in displaced cells. If your aging export opens with columns that do not line up, that is the cause, not a data problem.
Export to PDF
Choose Export and then PDF for a snapshot. The PDF is exactly what you see on screen and has no settings to configure, which makes it the right format for a lender, a surety or a board pack, and the wrong one for a working list.
Fix a messy Excel export once
If the Excel export is hard to use, ask whoever maintains your reports to set that report's Excel Mode to Manual in the Report Designer and map each element to a row and column. It is a one-time change, and every export after it comes out clean. Acumatica notes that Manual mode is not supported for tabular reports, which generate their columns automatically. The cheaper alternative for a collections list is to export the Summary format, which carries one line per customer and is simpler to tidy by hand.
What Do You Do With the Export?
An aging report nobody acts on is a spreadsheet. The export earns its keep when every overdue account has a next touch and an owner.
Build the worklist
Export the Detailed format, then sort by bucket and by amount within each bucket. Collapse it by customer before anyone picks up the phone, so one conversation covers every open invoice on an account. Distributors with many small accounts should set a floor so nobody spends an hour on a small balance, and add columns for the last contact date and the promised pay date.
Separate the deductions
Manufacturers and distributors rarely have clean past due balances. Some of what looks overdue is a short payment, a pricing dispute or a promotional deduction the customer took without asking. Pull those onto their own tab with a reason code before the collector calls, because the conversation about a deduction is different from the conversation about a late invoice. Keep retainage on its own tab
If you run the Detailed with Retainage format, move unreleased retainage to its own tab. Retainage held under a contract is not late, and it has no place on a call list until its release conditions are met. Assign an action to every bucket
Recently past due gets a polite reminder, and automated is fine. The middle buckets get a reminder plus a call on the larger balances. Past sixty days, the conversation is about a payment plan or an escalation decision, and the payment recovery playbook has the scripts for each stage. Log every promise to pay with a date, and rerun the report weekly with a fresh Age as of Date so an account cannot drift a whole bucket between reads.
